You’ve been working so hard, you and your squad have been thinking about a group trip, and it’s time for the trip to leave the group chat. Planning a group trip can seem like an easy task until you have to start. The difference in opinion, preferences will affect a lot of the outcome, which is why you have to put a lot of thought into planning your group trip. 

Here are some factors to consider when planning a group trip: 

The people you’re going with: Do these people have the same values as you do, and are they people you know and trust? You have to be sure who you’re going on a trip with. If they’re strangers, ask yourself if you trust them and if you have appropriate measures in place.

Budget: How much do you plan to spend? and how much can each person pay based on their capabilities? 

Preferences: The choice of place to go. This would be determined by the budget and the preference of everyone in the group being in alignment. 

Clarity: Ensure that every message is clear and you carry everyone along on the plan from inception through the process and execution. 

 

Now that we’ve gotten all of that out of the way. Here is how you can plan the best group trip:

 

  • Select a head planner: This person will be in charge of all the planning process, coordinate the group and ensure transparency. The choice of leader can determine how well the group trip goes. Selecting this person has to be based on their reputation and a unanimous decision by group members. The first action by the head planner is to create a checklist.

 

  • Set a time frame: This time frame will be for planning and booking the trip so it doesn’t become another unending discussion., and you can fix this for a month with each week having its own goal. 

 

  • Choose Location: Search for locations that may interest all of you. Send up to 5 choices, and the one with the highest vote wins. Also, get everyone to say the places they want and select the location that appears in everyone’s choice of place. 

 

  • Agree on Dates: Choose the date you want to go for your trip and how convenient it will be for every member. This could work easily if it’s during the holidays, and there won’t be any issue with selecting free time. 


  • Select Accommodation: Decide the place where you want to stay on the trip. An Airbnb, hotel or resort. This is largely dependent on your budget, and options. 


  • Agree on trip itinerary: Decide on the activities you want to engage in during the trip so everyone looks forward to what they have to do and there are no disparities when you get to your travel location. 

 

  • Set deadlines for responses/payment: planning can be stressful. Have specific deadlines for when the payment has to be made. 

 

  • Book trip: After all finances have been settled, book your trip. 

 

  • Communicate: Always ensure members are aware of everything going on during the process incase of changes or unforeseen circumstances. Communicating and being transparent will help your group members have trust in you and trust the decisions you make.
